Appointment reminders

Fewer no-shows. No more reminder calls.

Appointment reminders are texts or emails that go out automatically before each visit, with a simple way to confirm or reschedule.

Why it matters

Someone on your team is probably spending part of every afternoon calling tomorrow’s schedule. Most no-shows aren’t rude; people just forget, or something came up and calling to cancel felt like a chore. Make it easy to say “I can’t make it,” and you get a chance to fill the slot.

How it works

How appointment reminders work

  1. We connect to your calendar

Your scheduling system, calendar or booking tool. We read appointments; we don’t change how you book them.

  2. Reminders go out on schedule

For example two days before, and the morning of. You pick the timing and the wording.

  3. Replies update the day

Confirm, reschedule or cancel by reply or link, and your team sees the changes without making a single call.

Clinics and service businesses need different things

For clinics

For practices, reminders stay generic (“your appointment with us”) with no health details, and they can include intake links or parking notes. Recall reminders for cleanings or annual visits can run on their own schedule. Seasonal patients who head north for the summer can be paused and picked back up in the fall.

For trades & home services

For service businesses, reminders confirm the arrival window and the address, and can send an “on my way” text with the tech’s name so nobody wonders who’s ringing the doorbell.

Good questions

Appointment reminders: common questions

How long does it take to set up appointment reminders?
Usually one to two weeks, most of it spent agreeing on wording and testing with your real calendar.
Do I need patient consent to send reminder texts?
Reminders about appointments someone booked are generally treated as informational, but you should still collect a phone number with clear permission and honor STOP right away. We walk you through it, and our blog has a plain-English post on consent for reminder texts.
Will it work with my scheduling system?
Often yes. Calendars and most booking tools connect easily. Some EHR and practice-management systems need an extra step. We check yours before you pay anything monthly.
Can patients reply in Spanish?
Yes. We can send reminders in English or Spanish and understand simple replies in both.
What happens when someone cancels?
Your team gets a heads-up right away, and if you keep a waitlist we can text the next person that a slot opened.
Can I stop reminders for someone who’s away for the summer?
Yes. Seasonal pauses are common here, and reminders pick back up when they’re back in town.
